Ordo360 is a product operated by LeadsMitra (“Ordo360”, “LeadsMitra”, “we”, “us”, or “our”). We provide a WhatsApp-commerce platform that helps small businesses (“Sellers”) handle customer leads from Instagram and Facebook reels through an AI-assisted WhatsApp chatbot, confirm orders, collect payments, and manage shipping.

This Privacy Policy explains what information we collect, how we use it, whom we share it with, and the choices you have. It applies to Sellers who create an account with us and to the end customers (“Customers”) whose WhatsApp messages are processed on a Seller’s behalf. By using Ordo360, you agree to the practices described here.

1. Information We Collect

Seller account data. When you sign up, we collect your business name, mobile number, and authentication details. We do not store passwords — sign-in is done through a one-time password (OTP) delivered over WhatsApp.

Seller business data. Product catalog information (names, prices, stock, sizes, colors, photos), orders, courier and tracking details, subscription plan, and billing/commission records.

WhatsApp Business data. To connect a Seller’s WhatsApp number, we process the number itself, the associated WhatsApp Business phone-number identifier, and verification status. Where applicable we use access tokens strictly to send and receive messages on the Seller’s behalf.

Customer messages and contact details. When a Customer messages a Seller’s WhatsApp number, we receive and store the message content, the Customer’s WhatsApp phone number and profile name, and any delivery details the Customer chooses to share (name, address, pincode) so the Seller can fulfil the order.

Payment data. Payments are processed by our payment partner (Razorpay). We store a reference to the payment link and payment status. We do not store card numbers, UPI credentials, or other sensitive payment instrument details on our servers.

Technical logs. Standard server logs such as timestamps and error diagnostics used to operate and secure the service.

2. How We Use Information

We use the information we collect to:

  • Provide the core service — receiving Customer messages, generating AI-assisted replies on the Seller’s behalf, confirming orders, and sending payment and shipping updates.
  • Authenticate Sellers and secure their accounts.
  • Process subscriptions, calculate commissions, and generate payment links.
  • Display conversation history and orders to the relevant Seller in their dashboard.
  • Maintain, troubleshoot, and improve the reliability and safety of the platform.
  • Comply with legal obligations and enforce our terms.

3. WhatsApp Business API

Ordo360 uses the WhatsApp Business Platform (Cloud API) provided by Meta. Messages sent and received through Ordo360 are also subject to WhatsApp’s Privacy Policy and Meta’s terms. We only use WhatsApp messaging to communicate with Customers on behalf of the Seller they contacted — for answering product questions, confirming orders, sending payment links, and sending shipping notifications. We do not use Customer WhatsApp data for unrelated marketing, and we do not sell it.

4. AI Processing of Messages

To generate helpful replies, incoming Customer messages, along with the relevant Seller’s product catalog and recent conversation context, are sent to our AI provider (Anthropic) solely to compose a suitable response. This processing happens only to serve the conversation and order flow. We do not use these messages to train third-party models.

5. How We Share Information

We share information only as needed to run the service:

  • With the Seller a Customer messaged — the Seller can see that conversation and the resulting order.
  • Service providers that power the platform: Meta/WhatsApp (messaging), Anthropic (AI replies), Razorpay (payments), and our hosting and database providers (Vercel, Supabase).
  • Legal and safety — where required by law, regulation, legal process, or to protect the rights, property, or safety of our users or the public.

We do not sell personal information to third parties.

6. Data Retention

We retain Seller account data, orders, and conversation history for as long as the Seller’s account is active and as needed to provide the service, meet legal and accounting obligations, and resolve disputes. Sellers may request deletion of their account and associated data as described below; some records may be retained where required by law.

7. Data Security

We take reasonable technical and organizational measures to protect information, including encrypted connections (HTTPS), row-level access controls in our database so each Seller can access only their own data, restricted server-side handling of sensitive credentials, and OTP-based sign-in with hashed one-time codes. No method of transmission or storage is completely secure, but we work to protect your information and continuously improve our safeguards.

8. Your Rights and Choices

Sellers can view and update their business information and connected WhatsApp number from the dashboard, and can disconnect their WhatsApp number at any time. You may request access to, correction of, or deletion of your personal data by contacting us. Customers who wish to have their data removed can contact the Seller they messaged, or reach us at the address below and we will coordinate with the relevant Seller.

9. Children’s Privacy

Ordo360 is intended for businesses and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the platform where appropriate. Your continued use of Ordo360 after an update constitutes acceptance of the revised policy.
